Trainee Guide for Using Zoom

Introduction: This guide aims to help trainees join Zoom training sessions easily through clear and detailed steps. Make sure to follow these steps precisely to ensure a successful entry into the training session.

Step 1: Prepare the Basic Requirements

  • Suitable Device:

    • A computer (Windows/Mac) or a mobile device (smartphone or tablet running iOS/Android).
    • Ensure the device is connected to the internet and that the battery is fully charged or the device is plugged in.
  • Internet Connection:

    • Ensure you have a stable internet connection; it is preferable to use a Wi-Fi connection or a wired internet cable.
  • Zoom Program:

    • Ensure you have downloaded and installed the Zoom application on your device.

Step 2: Obtain Session Details Before the session, you will receive session details via email or through the training platform. These details include:

  • Session Link: Usually a link you can click to join directly.
  • Meeting ID: A unique number consisting of 9 to 11 digits.
  • Password: If the session is password-protected, you will need to enter it upon joining.

Step 3: Join the Session Using the Link

  • Open the Link:

    • Open the email or message containing the session link.
    • Click on the link (Zoom will start automatically if installed on your device).
  • Open Zoom Application:

    • If Zoom does not start automatically, you can open the application manually and then click "Join" on the main screen.
    • Enter the Meeting ID if the session does not open automatically after clicking the link.

Step 4: Join Using the Meeting ID If you do not have a direct link to the session, you can join using the Meeting ID:

  • Open Zoom Application:

    • Launch Zoom on your device.
    • Click on "Join" on the main screen.
  • Enter Meeting ID:

    • Enter the Meeting ID you received from the organizer.
    • Type your name as you wish it to appear in the meeting.
  • Enter Password:

    • If prompted for a password, enter it and click "Join Meeting."

Step 5: Set Up Audio and Video

  • Choose Audio Settings:

    • Once you join the session, you will be asked to choose audio settings.
    • Select "Join with Computer Audio" if you are using a computer.
    • If using a mobile device, audio will be activated automatically.
  • Turn Camera On/Off:

    • You can turn your camera on by clicking "Start Video" at the bottom of the screen.
    • To turn off the camera, click "Stop Video."

Step 6: Use the Zoom Interface During the Session

  • Interact with the Trainer:

    • Use the "Raise Hand" button to request to speak.
    • Use the "Chat" feature to write questions or comments.
  • Mute and Unmute:

    • Use the "Mute" button to mute your audio.
    • To unmute, click "Unmute."
  • Share Screen (If Requested):

    • If the trainer asks you to share your screen, click "Share Screen" at the bottom of the screen.
    • Select the window or application you wish to share and click "Share."
  • Exit the Session:

    • After the session ends, click "Leave Meeting" in the lower right corner.

Step 7: Troubleshooting Common Issues

  • If You Can't Join:

    • Ensure you have an internet connection.
    • Check that you have entered the Meeting ID and password correctly.
    • Try restarting your device and reopening Zoom.
  • If You Can't Hear Audio:

    • Ensure your speakers are working correctly.
    • Check audio settings in Zoom.
  • If the Camera Isn't Working:

    • Ensure the camera is connected properly and not used by another application.
    • Check video settings in Zoom.
